The Beauty of Pop-Ups: Basics of Alert Software

Even the most organized employee can forget a deadline or a set meeting if circumstances allow. Sometimes one is just too busy to keep track of prior commitments and needs a little reminding. Thankfully, reminders software are available for free for anyone with a smartphone. Gone are the days when you have to constantly look through a physical calendar – or worse, increase costs by sticking to more traditional, (yet) wasteful means of communication and documentation – to be reminded of the day’s events; now, people can be reminded multiple times or minutes before said events, as long as their phone has battery. In the work place, desktop alert software is used to send relevant information to a targeted audience base. By bypassing e-mails and other relatively tedious forms of workplace communication, desktop alerts are able to capture the attention of the employee in an instant, as well as direct instant results. Queries and points for clarification and of interest, for example, can be answered immediately upon receiving the request since these alerts and pop-ups (in this sense, at least) signify a sense of urgency. Additionally, important employee updates are prioritized and thus, a more strategic execution of work plans occurs.

This is a great strength of a business communications tool in that since alerts are released based on specified targets, it does not compromise the alerts’ purpose in the first place, which is to ensure the focus and commitment of the employee involved.

Another improvement in desktop alert software is the customizable level of notification persistence. Most applications of the kind allow the user to set alert messages so that they stay on the screen until responded to, or that they reappear at particular intervals. This overall forces the employee to act on the received message as soon as possible, which is positive for both the workplace (in terms of efficiency and performance) and the employee (in terms of personal/ work ethic).

Because desktop alerts can be set based on persistence levels, every click is counted and documented. Every time an employee responds to a question, it is documented as a tick in the positive side of the spectrum. The same goes with the number of neglected alerts per employee, or per team. This is yet another strength as human resources officers are able to more adequately gauge the employee’s commitment in his work and in the organization he belongs to. The documentation may also result into a clear performance indicator that can be the basis of incentives, promotions, and the like.

Flexibility and location independence are also great strengths of alert software as communications tool. Because alerts are now easily customizable, employees and other users have the luxury of deciding how prominent alerts are on their desktop (e.g. size and pop-up period occurrence), as well as when they respond to these pop-ups. An added luxury is the fact that employees are most likely going to be able to access these alerts wherever they are in the world, in different time zones. This is especially useful in the case of those mobile working arrangements, as well as employees with flexible work time shifts.

Remember, it’s not the end of the world if you can’t remember a small detail. Understand how alert software can work for you and you would not have to worry about forgetting ever again.
