Company overview
The Université Catholique de Louvain (UCLouvain) is Belgium’s largest French-speaking university, offering a comprehensive range of undergraduate, graduate, and doctoral programs to more than 30,000 students in almost all fields of study.
Summary
An in-house pop-up system wasn’t effective enough for UCLouvain to broadcast urgent information across its large university community. So they adopted DeskAlerts as their main messaging system to send planned and unplanned IT and non-IT outage alerts. With DeskAlerts, the university improved response times, increased the clarity and impact of messages, and enhanced cross-departmental communication efficiency.

Challenge
The university needed a dedicated channel to efficiently broadcast important messages from central services, including IT, to the entire organization. The initial in-house solution was lacking essential features, compromising the effectiveness of communication.
Solution
DeskAlerts software was implemented to address the gaps in the initial system, offering advanced capabilities like detailed reporting and policy delegation, enriching the university’s communication infrastructure.

We use DeskAlerts as our main direct and urgent messaging system. We use it to send information about general outages (IT and Non-IT) planned and unplanned. We had a homemade pop-up system before, but it was lacking in design, reporting, and delegation capabilities.
The IT department of the Cliniques universitaires Saint-Luc, located in Brussels, Belgium, chose DeskAlerts as their new instant alert mechanism.
With customizable skins, text format, and media embedding, DeskAlerts gives a better understanding of the message sent. The policy-based rules allow a wider usage of DeskAlerts by delegating some sending capabilities to other departments without losing control and denying misuse.

Result
With DeskAlerts, UCLouvain improved how it communicates urgent information across the university. The system enabled faster responses to planned and unplanned outages, keeping staff and students informed without delays. Features like reporting, customizable formats, and media embedding made alerts clearer and more impactful.
The university also gained efficiency through policy-based delegation, letting departments send targeted alerts while central control prevented misuse. This balance of flexibility and oversight strengthened UCLouvain’s communication infrastructure, ensuring reliable and consistent sharing of urgent updates.
