Steps to Writing an Internal Communications Plan

An internal communication strategy template helps your company solidify their plans when it comes to communicating with your staff members. Putting pen to paper creates a more organized and concrete plan which managers can refer to and look back on as they execute their communication programs.

The following is an internal communication strategy template you can take when writing your own internal communications plan:

1. Establish the purpose and objectives of your plan

Before creating your actual plan or messaging, make sure to begin by establishing why you want to create the strategy and what you wish to accomplish should it be properly executed.

Ask yourself what the purpose is behind your plan. Remember not to create an internal communication plan simply for the sake of communication. Create the plan based on the overall core objectives of your company. For example, you want to create a communication program that seeks to introduce and educate employees in the Spanish language, do not simply do it for the sake of the program itself. Instead, ask yourself what the purpose is for the said program. Is it because you are expanding your business to Latin American countries? Is it because you want to reach more Spanish-speaking clients?

2. Analyze your company’s current situation

The second step of an internal communication strategy template is to analyze the current state of your organization. Be honest with yourself about where the company currently stands. Are lines of communication truly as open and transparent as you want to believe they are? What are the flaws in your communication programs?

Collect data regarding factors that can affect the plan that you want to create. Be honest with your analysis as your honesty will be determinant of whether or not your plan will succeed or even push through.

3. Create the messages you want to relay

When creating the messages you want to relay, make sure that you use understandable and very concrete language. Concreteness and specificity will decrease the likelihood of confusion and frustration amongst managers and employees.

Make sure to always align your messaging with your purpose and objectives. If these elements are not in sync with each other, execution will be poor and goals will not be achieved. When it comes to the worst case scenario, wrong or even inappropriate messaging can cause offense and lead to friction and resentment instead of promoting employee engagement and motivation.

4. Identify the audience you want to communicate with

Once you have established and identified the previous steps of the internal communication strategy template, identify the audience you want to communicate and interact with. When it comes to internal communications, pinpoint the individuals in the company you want to reach. Do you want to communicate with all employees, or just particular departments? Is your audience composed of managers and leaders or regular work staff? Do you want to address new hires or people who have worked for the company for years? Being able to identify your audience will help you come up with the wording, tone and actions that go with your communication plan.

5. Identify the methods and tools you need

Before the actual execution of your communication plan, you need to figure out the methods and tools you need. Doing so will help you not only allocate the resources and budget you need to support and supplement your plan, it will also help you determine whether your plan is actually feasible. Remember that the appropriate methods and tools should be opted for, or else it would mean a waste of time and resources. Also make a determination of how much time you need to get your plan going.
